Stock Takes

You can find this section under Stock Control > Stock Takes in the IRP Admin left navigation menu.

You use this section to view details of completed and in-progress stock takes in any of your stock locations. You also use this screen to create new stock takes.

You use stock takes to count all items that are physically present in each location. When you enter the results into the IRP, the location and web stock levels are then automatically readjusted. The IRP also highlights all discrepancies for potential investigation. Note that the accuracy of the stock levels displayed in the IRP, and statistics associated with stock, are largely dependent on how well you maintain your stock level and costs information.

You can use the Search function to find stock takes. Click to expand the Other Options menu from where you can select the stock location, the status of the stock take and the date range:

This displays the following details:

  • Stock Location: Select the location from the drop-down list or select 'All Locations'.
  • Status: Select from Open, Scheduled, In Progress, Uncommitted or Completed.
  • From: Use the pop-up calendar to return stock takes from this date onwards.
  • To: Use the pop-up calendar to return stock takes from before this date.

The main grid on the StockTakesInProgressStep1of3.aspx page displays a row for each Stock Take in the system:

This displays the following details:

  • ID: This shows the unique IRP ID for the stock take.
  • Admin User: This shows the name of the Admin User who created the stock take.
  • Name: This shows the name of the stock take (if available).
  • Stock Location: This shows the location of the stock take.
  • Number Of Items: This shows the total number of items involved in the stock take.
  • Value: This shows the total value of all items involved in the stock take.
  • Status: This shows the status of the stock take: Open, Scheduled, In Progress, Uncommitted or Completed.
  • Date Scheduled: This shows the date and time when the stock take started or is scheduled to begin.
  • Date Started: This shows the date and time when the stock take was created.
  • Date Completed: This shows the date and time when the stock take was completed (if applicable).

At the top of the page you can click the View Uncommitted Stock Takes button to view all completed stock takes that have not yet had the stock level changes committed.

How To Add or Edit a Stock Take

Adding or editing a stock take is a three-stage process:

  • Stage 1: Schedule a stock take.
  • Stage 2: Select the items to include in the stock take.
  • Stage 3: Review the date and product selection for this stock take and confirm that the expected products are correct.

To add or edit a stock take, proceed as follows:

  1. Go to Stock Control > Stock Takes in the IRP Admin left navigation menu.
  2. Click the Create New Stock Take button above the Search bar.
    Alternatively, click the Edit button on the right side of the row for the stock take that you want to edit (note that you can edit only open or scheduled stock takes). The screen for Stage 1, Schedule Stock Take, appears:

  3. Fill in the details as follows:
    • Stock Location: Select from the drop-down menu the location where the stock take will take place.
    • Scheduled For: Enter the date to start the stock take.
    • Stocktake Name : (Optional) Enter a name to help identify the stock take throughout the IRP.
    • Notes: (Optional) Enter some notes relating to the stock take.
  4. Click the Continue button to progress to Stage 2:

  5. If you want to include all stock in the stock take, click the Include All Stock checkbox. Otherwise, leave the box unchecked and move to the Select Specific Stock section.
  6. To include inactive stock in the stock take, click the Include Inactive Stock checkbox. Inactive stock is excluded from stock takes by default, however if physical items are being held for inactive stock items then it is highly recommended that they are included.
  7. In the Select Specific Stock section, choose whether to include stock by Picking Location, Brand or Category. Changing the criteria type will reset your current selections in the boxes below.
  8. For each of the Include Stock By types above, select the items by using the Add and Remove buttons.
  9. (Optional):
    • For the Brand option:
      • You can click the Filter By Brand-Categories checkbox to further filter your selection by choosing only specific categories belonging to the selected brands.
    • For the Category option:
      • You can click the Filter By Category-Brand checkbox to further filter your selection by choosing only specific brands belonging to the selected categories.
    Only products with a Brand and Category in this selection will be included in the stock take.
  10. Click the Continue button to progress to Stage 3:

  11. Review the details in the Confirm Stock Take Details section. The details here include:
    • The stock location.
    • When the stock take is scheduled to take place.
    • The name of the stock take (if you have entered one).
    • The projected number of items in the stock take.
    • The projected quantity of stock take items.
    • The projected value of the stock take.
  12. Review the details in the Product Criteria section. The details here include the brands or categories (or Picking Locations) that you selected in Stage 2.
  13. Review the details in the Expected Items section. The details here include the details of the products that you have selected.
  14. (Optional) You can add notes about the stock take in the Notes section. Type your notes in the text box and click the Add Note button.
  15. (Optional) If necessary, you can delete the stock take by clicking the Delete button.
  16. Click the Confirm button to progress with the stock take.

The stock take will then appear on the main Stock Takes screen with a status of 'Scheduled'.
