Segmentation

You can find this section under Email Marketing > Segmentation in the IRP Admin left navigation menu.

You use this page to view and edit all of the email segmentation options available to you on the IRP. These include email profiles, mailing list segments, email reports and email send lists.

This page provides you with an comprehensive overview of your email segmentation in one place.

Email Profiles tab

Email profiles hold the list of customers who are currently subscribed to receive mails containing certain information. For example, you could create an email profile specifically for offers. This profile would contain only those customers who have subscribed to receive emails on offers. You can set up multiple email profiles in the IRP and a customer can belong to multiple profiles.

Customers can opt in and opt out of email profiles under their account on the front end of the website. In the following example, the email profiles include 'Freetime climb ski Carlisle', 'Offer Email' and 'Other Offers':

Note that if you enable the Application Setting called Use Default Email Profile, when a customer visits the Email List page in their My Account section and enters their email address, they will be subscribed to the Default Email Profile when they click 'Continue'.

Note also that when a customer unsubscribes from an inactive email profile, they will be automatically unsubscribed from all email profiles.

You can see the following details in the main grid:

  • ID: This is the unique IRP identifier for this email profile, added automatically by the IRP.
  • Active: This setting determines whether or not the email profile is active on the website. You can use this setting for 'offline' profiles, such as separating store email addresses from website subscribers.
  • Profile Name: This is the name assigned to the email profile. This is also the name that customers see when they sign up to the list. This field is translatable – see How To Add or Edit an Email Profile.
  • Type: This is the site that this email profile applies to – this allows emails to be set up specifically for the retail or trade sites if required.
  • Is Default: If checked, this email profile will be the default profile that users will subscribe to when attempting to join the mailing list. This will have no effect when the Application Setting 'Use Default Email Profile' is disabled, in which case customers will be automatically subscribed to all available email profiles.
  • Is Trade Default: If checked, this email profile will be the default profile that users will subscribe to when attempting to join the trade site mailing list. This will have no effect when the Application Setting 'Use Default Email Profile' is disabled, in which case customers will be automatically subscribed to all available email profiles.
  • Description: This is an optional short description explaining to customers what they can expect from mailings when signed up to this email profile. This field is translatable – see How To Add or Edit an Email Profile.
  • Subscribers: This is the total number of subscribers that are in the email profile.
  • Emails: Click this button to download a spreadsheet of email addresses in this profile.
  • Edit: Click this button to go to the MailingListSegmentEdit.aspx page where you can edit details of the email profile. For more details, see How to Add or Edit an Email Profile.

Mailing List Segments tab

You use the 'Mailing List Segments' tab to split email profiles into sub-profiles depending on specific criteria. For example, you could use a mailing list segment to send an email to subscribed customers based in Australia who have spent more than £100. You can then select mailing list segments when you are sending the email using the Marketing Campaigns section of IRP Admin.

You can prevent customers from receiving excessive numbers of emails if they have applied to multiple mailing list segments by configuring the 'Marketing Email Last Sent' option as one of the criteria for the segment (see How to Add or Edit a Mailing List Segment).

You can see the following details in the main grid:

  • ID: This is the unique identifier for this mailing list segment, added automatically by the IRP.
  • Segment Name: This is the configured name of the mailing list segment.
  • Profile: This is the email profile associated with the mailing list segment.
  • Include Unsubscribed: This indicates whether the mailing list segment should include customers who have specifically asked not to be subscribed to offer emails. For example, if this is a product recall email, you should be contacting all customers who have bought that product regardless of their subscription status.
  • Apply to Criteria: This will be either 'Any' if the customer must meet just one of the specified criteria, or 'All' if the customer must meet every one of the specified criteria.
  • Criteria: These are the criteria for customers being in this mailing list segment.
  • Count: This is the total number of email addresses that are in the mailing list segment.
  • Emails: Click this button to download a spreadsheet of email addresses in this segment.
  • Edit: Click this button to go to the MailingListSegmentEdit.aspx page where you can edit details of the mailing list segment. For more details, see How to Add or Edit a Mailing List Segment.

Email Reports tab

Reports allow you to pull information from your IRP database on any aspect of your IRP instance, including email information. To create reports, you will require:

  • Knowledge of the SQL programming language.
  • An understanding of the structure of your IRP's database.

We strongly advise you to speak to your Support Team with regards to setting up and editing reports. For details about all aspects of the Reports functionality, see the Reports help topic.

You can see the following details in the main grid:

  • ID: This is the unique IRP identifier for this report. This is generated automatically when adding a report.
  • Title: This is the title/name used to identify this report within your IRP.
  • Count: This is the total number of email addresses that are in the report.
  • Emails: Click this button to download a spreadsheet of email addresses in this report.
  • Edit: Click this button to go to the ReportEdit.aspx page where you can edit details of the report. For more details, see the How To Add or Edit an Email Report help topic.

Email Send Lists tab

This is where you can easily create email lists for testing the sending of your emails. To create a list, you simply enter a name for it and a comma-separated list of email addresses to send the test email to.

You can see the following details in the main grid on the EmailTestSendListEdit.aspx page:

  • ID: This is the unique IRP identifier for this email test send list, added automatically by the IRP.
  • List Name: This is the name used to identify this email test send list. (This should be as clear as possible, especially if using test send lists for remarketing campaigns.)
  • Email Addresses: This is a comma-separated list of the email addresses in this test send list.
  • Count: This is the total number of email addresses that are in this test send list.
  • Emails: Click this button to download a spreadsheet of email addresses in this test send list.
  • Edit: Click this button to go to the EmailTestSendListEdit.aspx page where you can edit details of the email test send list. For more details, see How to Add or Edit an Email Send List.

At the top of the page you can use the following buttons:

  • Marketing Campaigns: Click this button to go to the MarketingCampaigns.aspx page where you can manage your event-driven email marketing campaign flows. For more details, see the Marketing Campaigns help topic.
  • Add Email Profile: Click this button to go to the EmailProfileEdit.aspx section where you can create a new email profile. For more details, see How to Add or Edit an Email Profile.
  • Add Mailing List Segment: Click this button to go to the MailingListSegmentEdit.aspx section where you can create a new mailing list segment. For more details, see How to Add or Edit a Mailing List Segment.
  • Add Email Report: Click this button to go to the ReportEdit.aspx page where you can create a new email report. For more details, see the Reports help topic.

How to Add or Edit a Mailing List Segment

To add or edit a Mailing List Segment, follow these steps:

  1. Go to Email Marketing > Segmentation in the IRP Admin left navigation menu.
  2. Select the Mailing List Segments tab.
  3. Click the Add Mailing List Segment button at the top of the page to add an email segment.
    Click the Edit button to edit an existing segment.
    The MailingListSegmentEdit.aspx page appears
  4. Enter the following details.

    Segment Details
    Mailing List Segment ID This is the unique IRP identifier for this Mailing List Segment, created automatically by the IRP.
    Segment Name Enter a name for the Mailing List Segment.
    Email Profile Select an email profile to associate with the Mailing List Segment.
    Exclude Customers Check this box to exclude people on the mailing list with customer accounts from this Mailing List Segment.
    Include Unsubscribed Check this box to include customers who have specifically asked NOT to be subscribed to offer emails. You may want to do this, for example, if this is a product recall email — you should then be contacting all customers who have bought the product regardless of their subscription status. Otherwise you should generally not tick this box as it can result in being listed as spam senders.
    Matching Subscribers This tells you the number of signed-up mailing list entries that match the criteria.
  5. Click the Insert Segment button or the Update Segment button.
  6. Enter criteria for the Mailing List Segment in the Criteria section:

    Include Subscribers matching <all/any> of the following criteria. Select ANY if the customer must meet just one of the specified criteria. Select ALL if the customer must meet every one of the specified criteria.
  7. To add criteria, click the Add New Criteria button.
  8. Select a filter mechanism for the Mailing List Segment from the drop-down list of possible filters:

    The following filters are available:
    FilterDescription
    Billing Post Code Use this filter to define postcode Select ‘Starts With’, ‘Ends With’, ‘Contains’ or ‘Does Not Contain’, enter the postcode and click Add Criteria.
    Country Select ‘In’ or ‘Not In’, select the relevant country or countries from the list (hold Ctrl or Shift to select multiple countries), and click Add Criteria.
    Customer Spend Select from ‘At Least’, ‘At Most’ or ‘Between’, enter the spend amount and click Add Criteria.
    Date Subscribed Select from ‘Is After’, ‘Is Before’ or ‘Between’, select the time frame and click Add Criteria.
    Explicit Marketing Consent The ‘Is’ option is the only one available, so simply select ‘Confirmed’ or ‘Not Confirmed’ and click Add Criteria. Also see * Note below this table.
    Gender Select 'Is' or 'Is Not', select the gender (Male, Female or Unspecified) and click Add Criteria.
    Is EU Member Country The ‘Is’ option is the only one available, so simply select ‘True’ or ‘False’ and click Add Criteria. Also see * Note below this table.
    Language Select ‘Is’ or ‘Is Not’, select the language from the list, and click Add Criteria.
    Last Engaged With An Email Note: this is a timestamp of the last time that a recipient clicked a marketing email that brought them back to the site, not simply when a recipient opened a marketing email. Select ‘More Than’, ‘Between’ or ‘Less Than’. For ‘More Than’ and ‘Less Than’, enter the number of days ago when the email was last engaged with. For ‘Between’, enter a range of ‘day’ values in the boxes that are displayed. When you are finished, click Add Criteria.
    Last Order Date Note: This filter applies only to the last order, unlike the separate Order Date filter which applies to any orders (i.e. customers who have ordered anything between the dates you have set). So for example, if a customer has placed three orders in total and the second order falls between the dates you have entered, they would be selected for 'Order Date' but not 'Last Order Date'.
    Select from ‘Is After’, ‘Is Before’ or ‘Between’, select the time frame and click Add Criteria.
    Mailbox Provider Select ‘Is’ or ‘Is Not’ then select the relevant mailbox providers:
    • Microsoft (@hotmail, @outlook, @msn, @live)
    • Gmail (@gmail.com, @googlemail)
    • iCloud (@icloud.com, @me.com, @mac.com
    • Yahoo/AOL (@yahoo,@aol.com, @ymail, @verizon.net, @rocketmail.com, @rogers.com, @sky.com)
    • All Preset Providers (All of the above mailbox providers)
    • Custom Domains (If none of the preset providers listed above apply, you can create custom domains. Ensure the following format is followed: @ symbol, followed by provider, followed by the full stop symbol, followed by (com, co.uk, etc.) or if you have more than one then use *. Also ensure that you use a new line for each domain if you have more than one.)
    Click Add Criteria when you have finished adding your selection.
    Mailing List Signup Platform Select ‘In’ or ‘Not In’, select the relevant platforms from the list (hold Ctrl or Shift to select multiple platforms), and click Add Criteria
    Marketing Email Last Sent This option allows you to cut down on the number of emails that a customer is sent, as described in the Overview section. The ‘At Least’ option is the only one available, so simply enter the number of days ago when the email was last sent and click Add Criteria.
    Order Count Select ‘At Least’, ‘At Most’, ‘Between’, ‘Is’ or ‘Is Not’, enter the order count, and click Add Criteria.
    Order Date Note: This filter applies to any orders – effectively it applies to customers who have ordered anything between the dates you have set. In contrast, the separate Last Order Date filter applies only to the last order. So for example, if a customer has placed three orders in total and the second order falls between the dates you have entered, they would be selected for 'Order Date' but not 'Last Order Date'.
    Select from ‘Is After’, ‘Is Before’ or ‘Between’, select the time frame and click Add Criteria.
    Purchased Attribute Values This option allows you to create a Mailing List Segment of everyone who bought a stock item with a certain attribute value (e.g. something that was the colour blue or size small). You can mix attribute values in two ways:
    1. If multiple attribute values are included in a single 'Purchased Attribute Values' criterion (entered as comma-separated values) then the segment criteria will include anyone who bought something containing any of the attributes (i.e. something small or blue).
    2. If each selected attribute values is in its own 'Purchased Attribute Values' criterion and the criteria drop-down list is set to 'All', only customers who bought something satisfying all the attribute values will be in the segment criteria (i.e. something small and blue).
    Select ‘With’ or ‘Not With’, enter the Attribute Values and click Add Attribute Value. Click Add Criteria when you have finished adding Attribute Values.
    Purchased Brands Select ‘In’ or ‘Not In’, select the relevant brand or brands from the list (hold Ctrl or Shift to select multiple brands), and click Add Criteria.
    Purchased Categories Select ‘In’ or ‘Not In’, select the relevant category or categories from the list (hold Ctrl or Shift to select multiple categories), and click Add Criteria.
    Purchased Models Select ‘In’ or ‘Not In’, enter the Model Ids and click Add Model. Click Add Criteria when you have finished adding models.
    * Note that you can set the criteria filter called Explicit Marketing Consent to 'Not Confirmed' and pair this with the criteria called Is EU Member set to True (and also set Include Subscribers matching All of the following criteria) in order to create a mailing list for customers who need to confirm their consent for receiving marketing communications from you.
    Note also that if you have checked the box for Exclude Customers, only the following filters are displayed:
    • Country
    • Date Subscribed
    • Explicit Marketing Consent
    • Gender
    • Is EU Member Country
    • Language
    • Last Engaged With An Email
    • Last Order Date
    • Mailbox Provider
    • Mailing List Signup Platform
    • Marketing Email Last Sent
    The following filters are not displayed as they cannot be determined for non-customers:
    • Billing Post Code
    • Customer Spend
    • Order Count
    • Order Date
    • Purchased Attribute Values
    • Purchased Brands
    • Purchased Categories
    • Purchased Models
  9. Finally, click the Update Segment button.
